  • IS MY PRACTICE AND PATIENT INFORMATION SECURE?
    We are committed to the duty of care owed to our clients, the dental practices they work in, their patients and our team in the safe handling and storage of data. We have attained vigorous training in data protection and security, GDPR, and patient confidentiality and have taken the following steps to further protect our client’s data. Measures in place to protect client’s data: • Data Protection Agreements with all Clients • Data Protection Policy observed by all team members • Professional Indemnity & Medical Malpractice Insurance • Cyber and data liability insurance • Data cloud back-up and disaster recovery protection • Website Privacy Policy • ICO Registration • Secure unique passwords (generated by an encrypted password manager) are only shared within the team, where completely necessary • Use of multi-factor authentication wherever possible • Professional anti-virus software • VPN used whenever not using a secure network on devices • Use of End-to-end encryption methods of sending data wherever possible • All team complete annual CPD in Data Protection and Patient Confidentiality • All team members follow Principle 4: Maintain and protect patients’ information and CQC Regulation 17: Good Governance
  • WHAT ARE YOUR WORKING HOURS?
    We work during standard UK business hours, 9am - 5pm, Monday to Friday, although you are of course free to email or WhatsApp us whenever is convenient for you. We observe all bank holidays in England and Wales.
  • WHAT ARE THE FEES?
    Fees start from £35 per hour, with a one-off onboarding fee of £150 prior to commencement of work. We take time during our onboarding to really get to know our clients well, the tasks they'd like us to complete how they like things done. Everything we do is bespoke to each client's needs. At the end of each month, you will receive an itemised invoice that includes everything we have worked on during that time period. Payment is accepted through direct debit for your ease. We believe in transparency and honesty when it comes to our fees and services, so you can trust that you are getting the best value for your money. We are happy to work to a budget, if there is one also.

  • WHERE ARE YOU BASED?
    Being virtual, we are able to provide our services to dental practices and professionals in any part of the UK. All of our VAs are based within the UK.
  • CAN YOUR PATIENT CARE COORDINATOR SERVICE HANDLE CALLS IMMEDIATELY LIKE A VIRTUAL RECEPTION?
    The short answer is no. We understand that it's important to act on new enquiries as quickly as possible. However unlike traditional virtual receptionists who may take calls immediately in a call centre environment, our team operates by allocating dedicated time slots for handling calls and administrative tasks throughout the day depending on the needs of each client. This scheduling allows us to provide undivided attention and high-quality service during your assigned times. While we do not offer immediate call answering, we can manage incoming calls by scheduling callbacks, using automated responses, and prioritising urgent calls to be addressed within your time slots.
