Our Virtual Practice Manager service is bespoke to each practice and planned with you during your onboarding meetings with your dedicated virtual practice manager. This service is ideal for:

  • Small practices with no practice manager

  • Practice managers who need an ad-hoc assistant

  • Squat practices not wanting to employ a team in the early growth days

  • When your practice manager is on leave


Tasks including but not limited to: 

  • Negotiation and sourcing of equipment and stock

  • Setting up and management of an equipment servicing system

  • Regulatory compliance setup and maintenance

  • New team starts - recruitment, vetting and interviews, reference checks, contracts, policies, induction, DBS, CPD, and PDP 

  • Telecoms, card terminal, and finance companies sourcing

  • Assistance with private practice plan provider research and setup

  • Payroll and rotas

  • Day visits can be arranged depending on location (additional fees apply)

Having many years of hands-on experience working with dental specialists in practice, your dedicated patient care coordinator can assist you with managing various areas of the patients overall treatment journey. We can care for and nurture your patients the way you would like us to as if we work solely for you. For this service we have a minimum turnaround time and are unable to take urgent task requests or act like a virtual reception. 

Tailored to your requirements we can handle any of the tasks below:

  • Pre-consultation assessment over the phone or via video consultation

  • Providing new patient welcome packs or information

  • Virtual appointment booking (if access is available)

  • Taking deposits 

  • Treatment plan and consent dictation and preparation

  • Preparation of template treatment plans and other documentation

  • Discussing and preparing financial options for treatment planned

  • Tracking patients through their treatment journey including follow-ups for new and existing patients 

  • Tracking payments are made (for example standing order payments)

  • External and internal referral handling and logging in and out

  • Discharge letters

  • Point of contact for patient queries 

This service can also include personal assistant services such as paying invoices, arranging travel and accommodation, and arranging gifts.
